JOB DESCRIPTION/QUALIFICATIONS:
We are seeking an experienced and highly competent individual to join our oil and gas company as the Head of Administration. With a minimum of 7 years of experience in top management positions in established organizations, you will lead the administrative department, ensuring the smooth operation of various administrative functions. Your strong leadership skills, extensive industry knowledge, and ability to manage complex administrative processes will be essential in supporting the overall efficiency and effectiveness of our organization.
RESPONSIBILITIES:
Lead and oversee the administrative department, managing a team of administrative professionals. Develop and implement administrative policies, procedures, and processes aligned with organizational objectives. Manage and optimize administrative systems, including document management, recordkeeping, and office equipment. Coordinate and supervise the execution of administrative tasks, such as travel arrangements, office supplies procurement, and facilities management. Collaborate with cross-functional teams, including finance, HR, operations, and legal, to support seamless administrative operations. Ensure compliance with regulatory requirements, industry standards, and internal policies across all administrative activities. Manage contracts and vendor relationships, negotiating terms and monitoring service levels. Develop and monitor the departmental budget, ensuring cost-effective allocation of resources. Provide leadership and guidance to the administrative team, promoting professional development and fostering a positive work environment. Coordinate and oversee special projects and initiatives, such as office relocations, system implementations, or process improvements. Serve as a point of contact for internal and external stakeholders, addressing inquiries and providing timely and accurate information. Manage and maintain confidential and sensitive information, ensuring data privacy and security protocols are followed. Monitor industry trends, technological advancements, and best practices in administrative management, implementing relevant improvements. Conduct regular performance evaluations, provide feedback, and implement measures to enhance departmental productivity and efficiency. Collaborate with the executive team, providing strategic input and support in decision-making processes.
REQUIREMENTS:
A Masters,Bachelor’s degree in Business Administration, Management, or a related field is preferred. Minimum of 7 years of experience in top management positions within established organizations, preferably in the oil and gas industry. In-depth knowledge of administrative management principles, practices, and regulations. Strong understanding of the oil and gas industry, its operations, and specific administrative requirements. Proven leadership skills, with the ability to effectively manage and motivate a diverse team. Demonstrated experience in managing complex administrative processes, including budgeting, contract management, and resource allocation. Familiarity with regulatory requirements and compliance standards relevant to the oil and gas industry. Strong attention to detail, with a focus on accuracy and quality in all administrative tasks. Ability to handle confidential information with integrity and discretion. Professional certifications related to administration, management, or the oil and gas industry are advantageous.
