JOB DESCRIPTION/QUALIFICATIONS:
We are seeking an experienced and highly organized Secretary to join our oil and gas company. With a minimum of 7 years of experience supporting senior executives in established organizations, you will play a critical role in providing administrative support, managing communication, and ensuring the smooth operation of the office. Your exceptional organizational skills, attention to detail, and ability to handle confidential information will be essential in supporting senior executives and contributing to the overall efficiency of the organization.
RESPONSIBILITIES:
Provide comprehensive administrative support to senior executives, including managing calendars, scheduling appointments, and organizing meetings. Coordinate and prioritize incoming communication, including phone calls, emails, and mail, ensuring timely responses and appropriate delegation. Prepare and proofread correspondence, reports, presentations, and other documents on behalf of senior executives. Coordinate travel arrangements, including flights, accommodation, and transportation, and prepare detailed itineraries. Manage and maintain electronic and physical filing systems, ensuring accurate and organized records. Prepare meeting agendas, take minutes, and distribute meeting materials as required. Screen and prioritize incoming visitors, determining the appropriate level of access and maintaining a professional and welcoming environment. Handle sensitive and confidential information with the utmost discretion and professionalism. Collaborate with cross-functional teams and departments, facilitating effective communication and coordination. Assist with the preparation and monitoring of budgets, expense reports, and financial documentation. Coordinate special projects and events, such as conferences, seminars, or corporate functions. Conduct research and gather information to support decision-making and strategic initiatives. Monitor and maintain office supplies, equipment, and inventories, coordinating with relevant vendors as needed.
REQUIREMENTS:
A Bachelor’s degree in Business Administration, Office Administration, or a related field is preferred. Minimum of 7 years of experience as a Secretary or Executive Assistant, supporting senior executives in established organizations, preferably within the oil and gas industry. Excellent organizational and time management skills, with the ability to prioritize and manage multiple tasks and deadlines. Strong attention to detail, ensuring accuracy and completeness in all administrative tasks. Proficiency in using office productivity software, such as Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. Exceptional written and verbal communication skills, with the ability to communicate effectively with internal and external stakeholders. Discretion and confidentiality in handling sensitive information and documents. Professionalism and a customer service-oriented approach when interacting with individuals at all levels of the organization. Ability to work independently and as part of a team, taking initiative and demonstrating a proactive attitude. Adaptability and flexibility to manage changing priorities and deadlines.
